NetSuite AR Automation: What It Does and Misses
See what NetSuite AR automation does natively, the documented limits on credit holds and dunning, and where a credit team still needs more than the ledger.
NetSuite AR automation is the set of receivables features inside Oracle NetSuite: invoice generation, automated emails and dunning letters, payment matching, customer credit limits and holds, and reporting. It works from the data in your ledger, which makes it strong at following up on invoices and weak at seeing a customer's risk change before an invoice ages.
Disclosure: Credit Pulse sells credit risk software that works alongside ERPs. The NetSuite facts below come from NetSuite's AR automation article and Oracle's NetSuite help documentation, checked in November 2026. Check your own account's edition and settings, because behavior depends on configuration.
What Does NetSuite AR Automation Do Natively?
NetSuite's own AR automation article lists invoice generation and distribution, automated emails before and after a due date, matching incoming payments to open invoices, multiple payment methods (check, ACH, credit card, wire), credit risk tracking based on customer payment behavior, dispute and deduction handling, and real-time reporting on DSO and payment trends.
The help documentation gives more detail on two pieces a credit team touches every week: credit limits with holds, and dunning letters.
How Do NetSuite Credit Limits and Holds Work?
Each customer record has a Credit Limit field on the Financial subtab, which sets the maximum amount of receivables the customer may accrue. A Hold field has three settings, and the documentation defines each one.
| Hold setting | Documented behavior |
|---|---|
| Auto | Warnings and blocks apply according to the credit limit and the Credit Limit Handling accounting preference. This is the default for new customer records. |
| On | A manual hold. It stops the customer from buying on credit regardless of the credit limit or balance, until someone releases it. |
| Off | Disables credit limits and holds. NetSuite ignores the limit and the customer can buy any amount on credit. |
Under Auto, a hold applies when the customer exceeds the credit limit, or when the overdue balance passes the grace period set in the Days Overdue for Warning/Hold preference. Two details matter. The limit excludes subcustomers, so a parent at its limit can still sell to its subcustomers without restriction. And the Off setting turns the whole control off for that customer.
Both automatic triggers come from your own books: a limit someone typed in, and days overdue on open invoices. For a deeper look at when to apply a hold, see the credit hold guide.
What Are the Limits of the NetSuite Dunning Letters SuiteApp?
Oracle's documentation lists these limits for the Dunning Letters SuiteApp:
- A dunning procedure can have at most 15 levels.
- The email queue and the PDF printing queue each handle up to 100 letters at a time.
- The SuiteApp cannot detect bounced emails.
- Only accounts with the Multiple Currencies feature enabled can use it.
- Generated PDFs are capped at 5 MB, and attachments over that size are split into several files.
What the queue limit means in practice
This is an illustration with assumed volume. If a month-end evaluation produces 2,000 overdue invoices that need letters, a 100-letter queue means 20 send batches for email and 20 for print. Teams with that volume should plan who runs the queues and when. A bounced email stays invisible to the SuiteApp, so someone also has to watch for returned mail, or the customer never receives the notice and the next level fires anyway.
The dunning process guide explains how to set levels, and the dunning management software guide covers what to look for when letters are not enough.
Where Does NetSuite AR Automation Stop?
The table maps common credit and AR jobs to what the NetSuite documentation covers and what a team still has to arrange.
| Job | What NetSuite documents | What to plan for |
|---|---|---|
| Follow up on late invoices | Dunning levels, letter templates, scheduled evaluation | Queue size and bounced email checks. Ask how a dispute should interrupt a dunning level in your setup |
| Stop shipping to a delinquent customer | Credit limit, hold settings, overdue grace period | The limit is a number a person sets and updates |
| Apply incoming payments | Payment matching to open invoices | Messy remittances still need review. See cash application automation |
| Learn that a customer's finances changed | Triggers based on your own invoices and balances | An outside signal: filings, liens, payment trends at other suppliers |
| Raise limits for customers who earned them | Manual edit of the Credit Limit field | A review process, or a tool that flags candidates |
Why a Ledger Can't Tell You a Customer Is in Trouble
A ledger records what already happened between you and the customer. A customer can pay you on time for a year while its other suppliers go unpaid, its lender tightens, or a lien lands on its inventory. None of that touches your invoices until the day your invoice ages, and by then the exposure is on your books.
DSO has the same flaw. It is a trailing measure, which makes a DSO dashboard a review of the crime scene. The hold and dunning controls above are good at the next step, which is chasing what is already late. The credit question comes earlier: should this customer still have this limit today?
Credit Pulse answers that with research agents that read outside sources continuously and flag changes between reviews, and the same data flags customers whose limits are too low for how they buy. It runs next to NetSuite rather than inside it. See credit management software and the B2B credit risk monitoring guide for the model.
Should You Add a Tool on Top of NetSuite?
Stay with native features if your invoice volume is modest, your customers pay on terms, and a person reviews the aging report weekly. Add tooling when you hit the documented limits, such as batch size and the bounced-email blind spot, or when losses come from customers who looked fine at the last review. Match the tool to the gap: collections workflow for the first, credit monitoring for the second. The AR automation software guide lists what to ask vendors.
Frequently Asked Questions
Does NetSuite have built-in AR automation?
Yes. NetSuite's own article lists automated invoicing and emails, payment matching, multiple payment methods, credit risk tracking from payment behavior, dispute handling, and DSO reporting. Dunning letters run through the Dunning Letters SuiteApp.
How does a credit hold work in NetSuite?
The customer record has a Credit Limit field and a Hold setting of Auto, On, or Off. Under Auto, NetSuite applies a hold when the limit is exceeded or the overdue balance passes the grace period in the Days Overdue for Warning/Hold preference.
What are the limits of NetSuite dunning letters?
Per Oracle's documentation, a procedure supports up to 15 levels, queues send or print up to 100 letters at a time, bounced emails are not detected, and the SuiteApp requires the Multiple Currencies feature.
Does a NetSuite credit limit watch the customer's financial health?
The documented triggers are the credit limit you set and the overdue balance on your invoices. Both come from your own ledger. Outside signals such as liens or filings need a separate source.
